Preparing Bank Confirmations Without Slowing Your Close
External bank confirmations remain a staple of cash and debt testing. Delays usually come from incomplete account lists rather than from the banks themselves.
Provide every account number — operating, payroll, foreign-currency, and dormant — plus facility letters for overdrafts and term loans. Include letters of credit and guarantee facilities even if undrawn; auditors test contingent exposures as well as drawn balances.
Coordinate early with relationship managers at regional banks serving Hokkaido clients. Some institutions still prefer paper confirmation forms with company seals; others accept electronic channels. Knowing the channel in advance prevents a week of idle fieldwork.
Reconcile book balances to bank statements before we send confirmations. Differences you already understand — deposits in transit, outstanding checks — should be documented so confirmation replies can be matched quickly.
Treat confirmation as part of the close calendar, not an audit surprise. Controllers who freeze the account list two weeks before year-end rarely scramble for missing facilities later.
